We are seeking to recruit a highly motivated person to work as part of our administrative team. You will report to the Operations Manager and provide support to a group of about 25 technical consultants. This is an exciting time at Galson Sciences, full of growth and opportunity after we joined Egis Group in 2021.


Job description

The right candidate will facilitate the smooth running of the business, and enjoy organising people, information, and other resources. You will work directly with the Operations Manager to organise and co-ordinate exciting changes as we continue integrating with our parent company. From streamlining day-to-day business activities as we transition to a dynamic enterprise resource planning (ERP) software, to supporting internal IT projects,

Key responsibilities will include:

  • Supporting Egis integration activities, including data migration and project information onboarding to the new ERP system.
  • Support preparation of bid documents, including gathering project requirements, organizing bid materials, and collating proposal development elements for future use.
  • Work with the Operations Manager and Project Managers to obtain information required to compile proposals and reports.
  • Assist with formatting proposal and report elements to utilise company brand and templates, while maintaining high quality standards.
  • Support internal circulation of upcoming bidding opportunities to relevant project staff.
  • Communicate with commercial partners, clients, and project team members to facilitate the exchange of information as needed and address enquiries.
  • Processing staff security clearances to ensure compliance with industry regulatory requirements.
  • Support project finance activities such as processing staff expenses claims, coordinating staff timesheet approvals by relevant managers, and client reporting.
  • Any other duties as may be determined from time to time.

Profile

You must be a self-starter, energetic and highly organised and enjoy being needed. You enjoy building relationships and enjoy finding creative solutions to new challenges. The support you provide will be varied and valued. You will have great interpersonal skills, high attention to detail and accuracy, and a proficiency for multi-tasking.

 

You’ll be working closely with Project Managers to provide vital administrative support to maximise technical delivery focus, as well contributing to new bidding and key business development opportunities.

 

You should be computer literate particularly with Microsoft Office, have experience in providing administrative support to numerous staff and be able demonstrate that you are both good at it – and enjoy it.

 

You will be responsible for undertaking a wide range of tasks and functions including supporting staff resource planning, processing staff security clearances, and supporting project finance related activities. Our support team works collaboratively to ensure a continuous level of support for our Managing Director and consultant staff. If you are a recent graduate, you will also be eligible to join the Egis in the UK graduate programme.

 

Essential skills and experience:

  •  Excellent interpersonal skills with a confident, pleasant and professional manner
  • Experience of working in an office environment or relevant academic experience
  • Strong organisational and planning skills
  • Ability and motivation to work on own - self-starting, self-motivated and driven to complete all tasks undertaken
  • Strong IT skills and proficiency in all areas of MS Office
  • Excellent time management skills and ability to multi-task and prioritise work
  • Attention to detail and problem-solving skills

Desirable skills and experience:

  •  Experience of office administration or project support (2+ years preferable)
  • Previous experience of using financial accounting systems, or willingness to learn
  • Previous experience in highly regulated environments
  • Experience of business development or commercial support
  • Experience of Quality Assurance systems such as ISO 9001
