Egis is looking for a highly motivated and organized Team Support Administrator to join our dynamic MEP team. The ideal candidate will play a crucial role in ensuring the smooth operation of daily activities by providing administrative, logistical, and support function to team members. This position is vital for maintaining efficiency, enhancing communication, and fostering a positive work environment.

Job description

Specific areas of key responsibility include the following:

  • Manage team calendars, schedule meetings, and coordinate appointments.
  • Prepare and distribute meeting agendas, take minutes, and follow up on action items.
  • Handle correspondence, including emails, phone calls, and other communications.
  • Coordinate travel arrangements and accommodations for team members.
  • Assist in planning and executing team events, workshops, and training sessions.
  • Assist in the preparation of presentations and improving presentation of reports using tools such as Microsoft Office,
  • Adobe Illustrator, Adobe photoshop, Bluebeam and Indesign.
  • Assist in the preparation, compilation and formatting of word documents including but not limited to technical specifications, reports, bids, invoicing, variation orders, official letters, timesheets etc.  
  • Support team members in using various above mentioned software and applications efficiently.
  • Collaborate with team members to gather and analyze data for reporting purposes.
  • Facilitate effective communication within the team and across departments.
  • Promote a positive and inclusive team culture through proactive engagement and support.
  • Liaise externally with software providers/developers on product and process efficiency improvement

  • Perform additional tasks as required to support the team’s objectives and overall business goals.
  • Continuously seek opportunities to improve processes and enhance team productivity.

Profile

  • Bachelors degree or diploma with minimum of 5 years’ experience in a similar administrative or support role, preferably in the AEC industry.
  • Experience working in a team-oriented, collaborative environment.
  • Detail-oriented with a high level of accuracy.
  • Strong interpersonal skills and the ability to build relationships with team members and stakeholders.
  • Adaptable and capable of managing change in a fast-paced environment.
  • Positive attitude and a proactive approach to problem-solving.
  • Excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Basic knowledge of IT and technical troubleshooting.
  • Ability to work independently and take initiative.
